About the Role
We are seeking a highly organised and detail-oriented Office Administrator to join our team. The successful candidate will play a crucial role in ensuring the smooth operation of our office by managing various administrative tasks. This position requires excellent communication skills, proficiency in office software, and the ability to multitask effectively in a fast-paced environment.
Main Duties
- Manage incoming calls and emails with professional phone etiquette, ensuring all inquiries are addressed promptly.
- Perform data entry tasks accurately, maintaining up-to-date records and databases.
- Assist in the preparation of financial documents using QuickBooks, ensuring accuracy and compliance with company policies.
- Provide clerical support including filing, photocopying, and scanning documents as required.
- Organise office supplies and maintain inventory levels to ensure the office runs efficiently.
- Coordinate meetings and appointments, managing calendars for team members as necessary.
- Utilise Google Suite for document creation, spreadsheets, and presentations to support various projects.
- Collaborate with team members to streamline administrative processes and improve overall efficiency.
Qualifications
- Strong phone etiquette with excellent verbal communication skills.
- Proficient in administrative tasks with a keen attention to detail.
- Experience with QuickBooks is highly desirable but not essential.
- Ability to type quickly and accurately for effective data entry.
- Familiarity with clerical duties and general office procedures.
- Competent in using computerised systems and software applications, particularly Google Suite.
- Exceptional organisational skills to manage multiple tasks effectively in a busy environment.
